What Data We Collect
We collect personal data in the following circumstances:
When you submit a contact or enquiry form (employers):
- Full name and company name
- Email address and phone number
- Service of interest and message content
- Any documents you voluntarily attach (e.g. job briefs)
When you apply for a role or register your interest (candidates):
- Full name, email address and phone number
- CV and supporting documents
- Cover notes and details of your experience and availability
When you visit the website:
- Basic usage data through Cloudflare (e.g. IP address, browser type, pages visited). This is handled by Cloudflare under their own privacy policy and is used solely for security and performance purposes.
We do not collect any special category data (such as health information or ethnicity) unless you voluntarily include it in a document you share with us.

How We Use Your Data
We use the data we collect for the following purposes:
- To respond to your enquiry or application
- To assess your suitability for roles we are recruiting for
- To introduce you to prospective employers (candidates) or prospective candidates (clients) — always with your prior knowledge
- To keep you informed of relevant roles or opportunities that match your profile
- To maintain records of our business relationships and placements
- To comply with our legal and regulatory obligations
We will never sell your data to third parties, and we will never share your details with a client without first speaking to you and obtaining your consent.

Legal Basis for Processing
We process your personal data on the following legal grounds under UK GDPR:
- Legitimate interests — to operate as a recruitment business, respond to enquiries, and match candidates with suitable roles. We have carried out a legitimate interests assessment and are satisfied that our interests do not override your rights.
- Consent — where you have actively submitted your details and CV through our website forms, we treat this as a clear signal of consent to process your data for recruitment purposes.
- Contract — where processing is necessary to fulfil a recruitment agreement or placement.
- Legal obligation — where we are required to retain records by law.

Who We Share Your Data With
We may share your personal data with the following categories of recipients:
- Prospective employers (clients) — only with your prior knowledge and explicit agreement
- Formspree Inc. — our form submission processor. Form data (including attachments) is transmitted via Formspree's servers and delivered to our inbox. Formspree processes data in accordance with their own privacy policy and is GDPR-compliant.
- Cloudflare Inc. — our website hosting and security provider. Cloudflare may process basic request data as part of their infrastructure services.
We do not use any other third-party marketing platforms, CRM tools, or data brokers. Your data stays with us.

How Long We Keep Your Data
We retain personal data for as long as is necessary for the purposes described above:
- Candidate data — we will retain your CV and application data for up to 2 years from the date of submission. After this period we will securely delete it, unless you have asked us to retain it or we have placed you in a role.
- Client/employer data — contact and enquiry data is retained for the duration of our business relationship and for up to 3 years thereafter for legitimate business records purposes.
- Placement records — where a placement has been made, we may retain records for up to 6 years to comply with potential legal or contractual obligations.
You can request deletion of your data at any time — see Your Rights below.

Your Rights
Under UK GDPR, you have the following rights in relation to your personal data:
- Right of access — you can request a copy of the personal data we hold about you
- Right to rectification — you can ask us to correct inaccurate or incomplete data
- Right to erasure — you can ask us to delete your data where there is no compelling reason for us to continue processing it
- Right to restriction — you can ask us to restrict how we process your data in certain circumstances
- Right to data portability — you can ask us to provide your data in a structured, machine-readable format
- Right to object — you can object to processing based on legitimate interests at any time
- Right to withdraw consent — where processing is based on consent, you can withdraw it at any time

Cloudflare, our hosting provider, may set a technical cookie (__cf_bm) for bot management and security purposes. This is a strictly necessary cookie and does not track you for marketing or advertising purposes.
